The Doc Mirror is a visibility audit tool for doctors. We do not handle medical records, patient data, or protected health information. This policy explains what data we collect when you use our service and how we use it.
Information We Collect
We collect only the information needed to run your visibility audit and improve the product:
- Information you provide: Your name, practice name, specialty, and location when you run a visibility check. Your email address if you request a fix guide or create an account.
- Usage data: Pages visited, features used, and how long you spend on the tool. This helps us understand what is useful and what is not.
- Device and browser data: IP address, browser type, and operating system, collected automatically via standard web logs.
We do not collect any patient information. We do not access your Google account, your practice management software, or any clinical systems.
How We Use Information
We use the information we collect to:
- Run your visibility audit and generate your Doctor Visibility Score
- Send your fix guide to the email address you provide (only if you request it)
- Improve the accuracy of our audit tool
- Understand how doctors use the product so we can make it better
- Send occasional product updates if you have opted in
We will never sell your personal information to third parties. We do not use your data for advertising targeting on other platforms.
Data Security
We take reasonable steps to protect the information you share with us. This includes using HTTPS for all data transmission, restricting access to personal data to team members who need it, and storing data on reputable cloud infrastructure with industry-standard security controls.

To deliver the audit, we query publicly available data sources including Google Search, Google Maps, and AI platforms. We do not share your personal information with these services beyond what is necessary to perform the search (such as your doctor name and location).
We may use third-party tools for analytics, email delivery, and payment processing. These providers have their own privacy policies and are contractually required to protect your data.
User Rights
You have the right to:
- Request a copy of the personal data we hold about you
- Ask us to correct inaccurate data
- Ask us to delete your data
- Opt out of marketing emails at any time using the unsubscribe link in any email we send
